How to Submit Pharmacy Claims to 340B ESP

Learn how to submit and preview pharmacy claims data

This article details how to upload and submit pharmacy claims to the 340B ESP platform, including how to format your claims file and define the appropriate column mappings.

Please review the manufacturers' policies from our resources page for more information on claim submission requirements.

Before You Begin

  • You must be a registered user for the entity.

  • You must have access to a pharmacy claims file containing the required pharmacy claims data, listed on the Pharmacy Claims Data Table.

  • The contract pharmacies for which you want to submit data must be a registered contract pharmacy under the 340B ID in HRSA. Claims should only be submitted for 340B IDs currently registered to your ESP account.

Note: Claim submissions for your in-house pharmacies do not require that you first designate your in-house pharmacy. If submitting claims for in-house pharmacies, simply upload and submit the claims as instructed below.

Uploading a Pharmacy Claims File to 340B ESP

  1. Navigate to Pharmacy Submissions from the side panel menu to open the Pharmacy Submissions module, where you can begin to submit your claims.

  2. Click Start a Submission, to add one or more files for submission.

  3. Attach the claims file.

  4. Select the appropriate column mapping template from the dropdown. If no template exists, create a new one before proceeding.

  5. Under the Column Mappings tab, correct any field mapping errors that may have occurred during column mapping, indicated in the column map. If a formatting issue is detected, 340B ESP will display an error alert. To correct the issue, click the trash icon to remove the incorrect mapping, then assign the correct field header.

Tip: If you have not already created and saved a column mapping template, you will be able to save it after you attach your claims data file. For more information on column mapping and fixing field errors, check out How to Create a Column Map for Data Submissions.

    • If errors are present, please follow the instructions below to resolve them before submitting.

  2. Review highlighted errors, indicated in red, to determine which data elements require updating in order to submit your pharmacy claims data. For more information on using the Submission and Original File views, check out Understanding Data Submissions in 340B ESP.

  3. Update the source file in your system of record or spreadsheet editor, ensuring that all values meet ESP's file format and validation standards.

  4. Remove the errant file and upload the updated, corrected file.

  5. Save and Submit: Once all formatting issues are corrected and no red cells appear in the Submission view, and there are no flagged issues identified in the Submission view, you may Save and Submit your claims file.

  6. You will receive a confirmation that allows you to Confirm Submission for back-end validation.

After submission, you can track and review your submissions history, processing status, line-level details, and outcomes under the Pharmacy Submission tab for all entities to which your user account is registered.

Note: When the Payer PCN and Payer BIN fields are required, enter NA if the applicable field is blank or CASH if the claim was paid with cash.
