Entity Profile Overview

Learn where to view entity information and managing user access for your covered entity.

The Entity Profile provides a complete view of your covered entities within 340B ESP and serves as the central location for accessing entity information, monitoring contract pharmacies’ pricing eligibility statuses, making contract pharmacy designations, and managing user access.


Entity Details

The Entity Details section provides key identifying information about the currently selected covered entity.

  • 340B ID – A unique identifier assigned by HRSA to each covered entity participating in the 340B Drug Pricing Program.

  • Entity Type – The HRSA-designated classification of the covered entity. The entity types helps determine the operational structure and regulatory characteristics of the covered entity.

  • Administrator – The individual who registered the covered entity in 340B ESP.

  • Primary Contact – The individual designed in HRSA as the main point of contact for the covered entity.

  • Authorizing Official – The individual designated in HRSA who is authorized to attest to the accuracy of the entity’s information and approve its participation in 340B ESP.

  • 340B ESP Registration – Indicates the date that the entity registered with 340B ESP.

  • Designations – The total number of active designations associated with the covered entity. Designations are submitted by covered entities to 340B ESP to recognize specified contract pharmacies as eligible to receive 340B pricing under manufacturer policies.

  • Contract Pharmacies – The total number of contract pharmacies currently listed in 340B ESP based on active contract pharmacy registrations in HRSA OPAIS.

  • Users – The total number of users associated with the entity.

Tip: To view a different covered entity in 340B ESP, select it from the Switch entity dropdown. The information displayed on the page updates based on the selected covered entity and reflects only the data associated with that entity. Contract Pharmacies

The Contract Pharmacies tab displays the contract pharmacies associated with the covered entity based on each manufacturer’s contract pharmacy eligibility criteria established in 340B ESP.

You can filter by manufacturer to display a list containing all contract pharmacies under the manufacturer as well as their eligibility statuses or View All to list all at once. Each row represents a contract pharmacy and contains six key fields:

  • Pharmacy – The contract pharmacy associated with the 340B covered entity.

  • Exceptions – Indicates that the contract pharmacy receives 340B price for one or more products because of a Designation or an Exemption from specific manufacturer policy requirements.

  • Status – Indicates the number of products Eligible, At Risk, or Ineligible for 340B pricing, per manufacturer guidelines.

  • Conforming Claims – The lifetime number of conforming claims submitted into 340B ESP for this contract pharmacy.

  • HIN (Health Industry Number) – Identifier used to represent a pharmacy with manufacturer and supply chain systems.

  • DEA (Drug Enforcement Administration Number) – Registration number used to identify a pharmacy or provider authorized to dispense controlled substances.


Users

The Users tab displays all users who currently have access to the selected covered entity. From this tab, Admins can provision and manage user access at the entity level by inviting new users, removing existing users, updating user roles, and reviewing all users associated with the covered entity selected in the entity dropdown.

Each user entry includes the following details:

  • Name and Email – Identifies the user associated with the account access.

  • Status – Indicates the user's account status for the selected covered entity. Active means the user has received their invitation, completed registration, and can access the covered entity in 340B ESP; Pending means the invitation has been sent, but the user has not yet completed the registration process and cannot access the covered entity until registration is complete.

  • Role – Displays the user’s assigned access level, such as Admin or User.

  • Invite Link – Provides access to the original activation link for users still in Pending status who have not yet completed registration.

Any updates made within the Users tab apply only to the covered entity currently selected. This allows Admins managing multiple covered entities to independently control, review, and audit user access for each entity, helping ensure users only have access to the covered entities relevant to their responsibilities.
